Job Details

We are currently seeking to employ a Document Controller to work at our Technical / Design office based in Derbyshire, UK. The successful candidate will be responsible for the management of filing, sorting and retrieval of all electronically stored and hard copy documentation produced and/or requested by Projects and Technical staff. This will all be undertaken in a timely, accurate and efficient manner.

The main purpose of the role is to assist the Project Managers with the control of all order or enquiry specific documentation such as calculations, schedules, design files, reviews, communications, tenders, pricing, etc. There will also be incentive to implement new processes and work flows to help improve general efficiency. This position would suit an experienced technical document controller who has spent time working in a busy engineering office. Knowledge of the companies bespoke product line and global markets would be developed over time.

Key Responsibilities
  • Create, maintain and update instructions for new and existing work flow processes.
  • Responsible for coordinating and distributing documents within the team, to other global offices and third parties when required.
  • Maintenance of internal filing/retrieval systems.
  • Deliver documents and records against key project dates.
  • Receive, issue and control various different project documents - new and updated.
  • Review and amend existing project documentation.
  • Ensure consistent management and administration practices of documentation.
  • Control workflows management and documents distribution.
Experience / Skills
  • Previous document control experience.
  • Able to work independently with minimal supervision (once established).
  • Proficient with a wide range of software including Word, Excel, PowerPoint, Outlook, Project, etc.
  • Excellent attention to detail with accurate inputting and data recording skills.
  • Have a systematic and disciplined approach to work; able to plan, schedule and monitor own work.
  • Able to deliver consistently high levels of work within limited and defined timelines.
  • Able to adopt a proactive and coordinated approach in identifying anomalies.
  • Excellent communication skills with staff at all levels - verbal and written.
